Description:

Philadelphia branch of global investment banking firm needs an experienced Senior Admin Assistant for senior executive in Corporate Services & Real Estate Department.

Responsibilities: Oversee administrative aspects of senior executive’s personal foundation work.Coordinate complex, senior-level internal/ external meetings and conference calls. Handle a high volume of phones calls and interact with high level business leaders in a professional and effective manner. Organize and ship literature to clients. Respond and follow up on a variety of requests. Maintain complex and extremely detailed calendars and prioritizes meeting requests and related logistics. Coordinate a high volume of travel arrangements. Prepare and distribute correspondence, memos, letters, reports or other documents as requested. Interact often as a liaison between senior executive and various divisions in the firm.Maintain understanding of firm policies and handle certain issues independently. Manage monthly invoices and arrange for payment. Rsponsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees and or group events. Order supplies and keep inventory well-stocked.

 
Requirements:
 
Prefer 10+ years of administrative/secretarial experience; excellent interpersonal and communication skills; high attention to detail; comfortable working independently; ability to maintain high standards despite pressing deadlines & solving problems quickly and efficiently. •Strong knowledge of general business, corporate and government cultures; ability to handle highly sensitive, confidential and non-routine information. self-starter with excellent anticipation skills; problem solving; follow up. strong organizational skills; comfortable working with people at all organizational levels; comfortable working in a sometimes hectic, high pressure environment. Proficiency in MS Office Suite and Outlook.
