The San Francisco office of New York premier investment banking firm needs an experienced & resourceful administrative Assistant to group & its executive. The applicant should be a team player with a positive attitude who works well under pressure. This position requires the highest degree of integrity, professionalism, diplomacy and discretion.
Responsibilities: Provide administrative support in a complex team environment to a senior group or executive; coordinate complex, senior-level internal/ external meetings and conference call; handle a high volume of phones calls; support internal and external managers or clients; organize & ship literature to clients; respond and follow up on client requests; maintain complex and extremely detailed calendars; prioritize meeting requests and related logistics; coordinate a high volume of domestic and international travel arrangements and process expense reports; prepare and distribute divisional correspondence, memos, letters, reports or other documents as requested; manage monthly invoices and arranges for payment; on-boards new hires, processe new employees, transfers, termination, etc.; responsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees and or group events.
